TRAVEL TERMS AND CONDITIONS

 

These Terms and Conditions govern all visa application and consultancy services provided by SA Travelbug (“we,” “us,” “our”) to you, the client (“you,” “your”). By submitting an online visa application form with SA Travelbug, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions.

1. Our Services

Since 2002, SA Travelbug has been providing visa consultancy services through our dedicated and experienced team. When you engage our services, you will be assigned a personal consultant who will guide and advise you through your visa application process.

We undertake to provide:

  • A thorough and detailed information-gathering process.
  • The latest information and guidance regarding submission processes and centres.
  • Support throughout preparation, including checklists and templates for required documents.
  • Completion and submission of your online application.
  • Arrangement of couriering of documents.
  • Assistance in liaising with third parties where possible (timeframes for these are outside our control).
  • Arrangement of document translations, if required.
  • Preparation of a complete dossier for submission to Immigration Authorities.
  • Consular appointment arrangements, if required.
  • Confidential handling of your personal information, only sharing with Government officials or where legally required.

2. Your Obligations

As our client, you agree to:

  • Provide complete, accurate, and truthful information and documents as requested.
  • Act promptly in supplying documents, updates, and responses, as visa processing only begins from the date of lodgement and/or biometric capture.
  • Ensure your passport has at least two blank pages and a minimum validity of six months from your intended date of travel.
  • Adhere to the agreed fee schedule and pay all fees timeously.
  • Cover courier fees, telephonic follow-ups, and additional costs not included in SA Travelbug’s service fees.
  • Confirm that you meet all visa, health, and travel requirements for your destination(s).

3. Important Information & Disclaimers

SA Travelbug is not responsible for errors, delays, or omissions by Embassies, Consulates, or Government authorities.

The decision to grant or deny a visa lies entirely with the issuing Embassy or Consulate and is outside of our control. We cannot guarantee success or expedited processing.

Visa requirements, fees, and timelines are set by foreign governments and may change without notice.

All SA Travelbug fees, as well as Consulate, courier, and bank fees, are non-refundable once your application has been submitted.

If you fail to provide adequate documentation as required, SA Travelbug reserves the right to retain all fees paid.

Costs incurred as a result of visa delays (e.g. flight changes, courier costs, missed travel arrangements) are your responsibility.

Applications can only be lodged once full payment and all required documents have been received.

Flights should only be booked once your visa is approved. SA Travelbug is not responsible for flight bookings or related costs.

4. Legal & Compliance

False, misleading, or incomplete information may result in refusal of your visa, deportation, denial of entry, or a travel ban.

From 01 June 2015, all children under 18 travelling from South Africa require unabridged birth certificates in addition to their passports.

You are responsible for ensuring compliance with visa conditions and travel regulations, including inoculation requirements and transit visas.

Travel, work, study, or business activities may not be commenced until the correct visa has been issued.

5. Travel Insurance

We strongly recommend travel insurance for all clients. If you decline, you acknowledge and accept the risks of not having cover. SA Travelbug, its directors, employees, or suppliers will not be liable for losses, illness, injury, death, or costs incurred due to inadequate or absent insurance.

6. Privacy & Data Protection

SA Travelbug takes your privacy seriously and complies with the Promotion of Access to Information Act (PAIA) and the Protection of Personal Information Act (POPIA). Personal information is collected only for the purposes of visa processing and will be handled securely and confidentially. For full details, please see our Privacy Policy.

7. Limitation of Liability

SA Travelbug shall not be held liable for any delays, losses, or damages caused by third-party authorities or service providers.

Any timelines provided are estimates only and cannot be guaranteed.

In the event of regulatory or legislative changes preventing completion of your application, fees already paid will not be refunded.

No alteration, waiver, or variation of these Terms is valid unless agreed in writing by SA Travelbug.

8. Entire Agreement

These Terms and Conditions constitute the entire agreement between SA Travelbug and you, superseding all prior communications or representations. No indulgence or extension granted by SA Travelbug shall affect its rights under this agreement.

9. Governing Law

These Terms and Conditions are governed by the laws of the Republic of South Africa. In the event of litigation, you will be liable for all legal costs, including attorney and client fees and collection costs.

Acknowledgement

By submitting your visa application through our online forms, you confirm that you:

Have read, understood, and agree to these Terms and Conditions.

Acknowledge that visa issuance is at the sole discretion of the Embassy/Consulate.

Understand that all fees are non-refundable once services have commenced.
